Koalendar: A Scheduling Tool That Doesn't Hold Your Basics Hostage

When you look at the pricing page of most calendar apps, they gate the most obvious features behind a paywall. You get one booking page, or a harsh limit of 50 appointments a month, or they refuse to sync with anything other than a single Google Calendar.

Koalendar takes a different approach. Its free tier is actually usable. You get unlimited bookings, unlimited booking pages, and syncing across Google, Outlook, and Apple calendars without paying a cent. For a solo freelancer or a tutor just starting out, this alone makes it worth looking into. But as with any freemium tool, the moment you need to run a proper business, the paywalls start appearing.

The Pricing Reality Check

If you just need a link to send people so they can pick a 30-minute slot, stay on the free plan. It is genuinely generous.

Once you need email reminders, custom form questions, or the ability to take payments through Stripe, you will need the Pro plan at €9 per month. At that price, it undercuts much of the established competition.

But the catch lies in team scaling and branding. If you want to remove the Koalendar watermark, use round-robin scheduling for a sales team, or send SMS reminders, you are pushed to the Business plan at €29 per month. Here is the real limitation: those paid tiers are not flat rates for a whole team. Pro includes one seat and charges an extra €9 per month for every additional user. Business includes three seats and charges €12 for every additional seat. If you have a team of ten, the "cheap" €29 Business plan suddenly inflates to €113 per month. It is aggressively priced for individuals, but scales poorly for larger teams.

Where It Works and Where It Breaks

Users on Capterra consistently highlight how fast it is to set up. You can connect a Google Calendar and have a live booking page in under five minutes. It is clean, loads quickly, and doesn't confuse clients.

However, reading through Reddit threads reveals a recurring complaint from long-term users: Koalendar struggles with recurring appointments. If you are a coach or therapist trying to book a client for the same time every Tuesday for six weeks, the platform does not handle this gracefully. The Business plan claims to offer multiple and recurring bookings, but actual users report it feels clunky compared to heavy-duty practice management software.

Another constraint is the language support. It claims automatic language detection in over 30 languages, which is great for international client bases. But if you want to explicitly customize your notification emails, you are back to needing a paid tier.

The Verdict on Features

The Stripe integration on the Pro plan is a very practical addition. Instead of chasing invoices, you can force clients to pay before they secure the slot. This drastically cuts down on no-shows.

But if you rely heavily on SMS reminders to keep your flakey clients in check, you have to buy the €29 Business plan, which only gives you 300 SMS credits. After that, you are likely buying more credits or looking for a different tool.

Who Should Actually Use This

Skip this if you manage a sprawling sales team of 20 reps. The per-seat pricing will eat your budget, and you are better off with an enterprise-focused tool that includes advanced routing and Salesforce integrations out of the box.

Pick this if you are a solo consultant, a freelance designer, or a small clinic owner. The free plan is one of the few on the market that doesn't feel like a trap, and upgrading to Pro for €9 to accept payments is an easy business expense to justify. Just know that the moment you want to hide their logo or add your assistants to the platform, the price tag jumps.
